Privacy Notice
Last updated: 27 September 2026
This notice explains how Hansatech UK Ltd collects, uses and protects personal data when you visit hansatech.eu (the "website"), contact us, register for one of our events or book a meeting with us. It also explains the rights you have and how to use them.
It does not cover the Mobifer platform itself. When a customer uses Mobifer, personal data is processed under that customer's agreement with us and our Data Processing Addendum, both available in our Legal Centre.
1. Who we are
Hansatech UK Ltd ("HansaTech", "we", "us") is the controller of the personal data described in this notice. We are registered in England and Wales under company number 16706408, and our registered office is at 65 London Wall, London, EC2M 5TU, United Kingdom.
We develop and sell Mobifer, the operations platform for coach and bus operators. You can reach us about anything in this notice at info@hansatech.eu.
2. The personal data we collect and why
We only collect what we need for the purpose in question. Most of it you give us directly; some is collected automatically when you use the website.
| When | What we collect | Why we use it | Legal basis |
|---|---|---|---|
| Contact form | First and last name, work email, company, phone number, country, fleet size and your message | To answer your enquiry, arrange a demo and follow up on it | Our legitimate interests in responding to and developing business enquiries; taking steps at your request before entering into a contract |
| Webinar registration | First and last name, job title, work email, the language version of the page you registered on and the event you registered for | To register you, send your confirmation and joining details, and follow up after the event | Performing our agreement with you to provide the event; our legitimate interests for the follow-up |
| Booking a meeting | Name, email address, the time you choose and anything you add to the booking | To schedule and hold the meeting | Taking steps at your request before entering into a contract; our legitimate interests |
| Email and phone | Your contact details and whatever you choose to share with us | To communicate with you and keep a record of our correspondence | Our legitimate interests |
| Visiting the website | IP address, browser and device information, pages visited, the site that referred you and an approximate location derived from your IP address | To deliver the website and keep it secure, and — with your consent — to understand how it is used so we can improve it | Our legitimate interests (delivery and security); your consent (analytics cookies) |
Where we rely on legitimate interests, we have weighed them against your rights and expect the use to be one you would reasonably anticipate in a business context. We do not ask for special category data (such as health information), and we ask you not to include it in your messages.
3. Marketing
If you have contacted us or registered for an event, we may send you occasional emails about our products, services and events that are relevant to your business. We do this on the basis of our legitimate interests and in line with the Privacy and Electronic Communications Regulations.
You can opt out at any time by using the unsubscribe link in any of our emails or by writing to info@hansatech.eu. We keep a minimal record of your opt-out so that we can respect it.
4. Who we share it with
We do not sell your personal data. We share it only with the following, and only as far as they need it:
- Hansa Technologies OÜ (Estonia), our affiliated company that develops and operates the Mobifer platform, where it helps us answer your enquiry or provide a demo.
- Amazon Web Services, which hosts the website in Frankfurt, Germany.
- Google, which provides our email and office tools (Google Workspace, including the spreadsheet and script that record webinar registrations and send confirmations) and our website analytics (Google Tag Manager and Google Analytics).
- EmailJS, which delivers the messages submitted through the website's forms to our inbox.
- Calendly, which provides our meeting booking tool.
- CookieHub, which provides our cookie consent tool and keeps a record of the choices you make.
- Professional advisers such as lawyers and accountants, courts, regulators and other authorities where the law requires it, and a buyer or successor if our business is reorganised or sold.
Our service providers act on our instructions and are bound by contract to keep the data secure and confidential.
5. International transfers
Some of our providers process data outside the United Kingdom, in the European Economic Area or the United States. Transfers to the EEA are covered by UK adequacy regulations. For other countries we rely on UK adequacy regulations where they apply — including the UK Extension to the EU–US Data Privacy Framework for certified US companies — or on the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
6. How long we keep it
- Enquiries and related correspondence: up to 24 months after our last contact, unless you become a customer.
- Webinar registrations: up to 12 months after the event.
- Customer and contract records: for the length of the relationship and up to 6 years afterwards, to meet our legal and accounting obligations.
- Website analytics data: up to 14 months.
- Marketing opt-outs: for as long as we need to respect them.
When a retention period ends, we delete the data or anonymise it.
7. Cookies and analytics
When you first visit the website, a cookie banner from our consent provider CookieHub asks which optional cookies you accept. Strictly necessary cookies, including the one that remembers your choice, are always set, because the website cannot work properly without them.
Analytics cookies are optional. We use Google Tag Manager to load Google Analytics, which helps us understand how visitors use the website — for example which pages are read and how people arrive. Google Analytics sets its cookies only if you accept analytics cookies, and Google Consent Mode passes your choice on to Google.
You can change your choice or withdraw your consent at any time by selecting the shield icon in the bottom-left corner of any page, which opens your cookie settings.
The meeting booking window from Calendly loads only when you open it, and Calendly may then set its own cookies under its own privacy notice. You can also block or delete cookies in your browser settings.
8. How we protect it
The website is served only over encrypted connections (HTTPS). Access to personal data is limited to the people who need it for their work, and our providers are required to apply appropriate technical and organisational security measures. No system is perfectly secure, but we take care to protect your data and to act quickly if something goes wrong.
9. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you and receive a copy of it.
- Have inaccurate data corrected and incomplete data completed.
- Have your data erased in certain circumstances.
- Restrict how we use your data in certain circumstances.
- Object to processing based on our legitimate interests — and object at any time to direct marketing, which we will then stop.
- Receive data you provided to us in a portable format, where the processing is based on consent or a contract.
- Withdraw your consent at any time, where we rely on it. This does not affect processing carried out before you withdraw it.
To use any of these rights, write to info@hansatech.eu. We will respond within one month, and there is normally no charge. We may need to confirm your identity first.
10. Complaints
If you have a concern, please contact us first and we will do our best to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk or on 0303 123 1113. If you live in the European Economic Area, you may also contact the data protection authority in your country.
11. Other websites
The website links to other sites, such as our social media pages and our coach hire marketplaces. Those sites have their own privacy notices, and we are not responsible for how they handle your data.
12. Children
The website and our services are intended for businesses. They are not directed at children, and we do not knowingly collect personal data from anyone under 16.
13. Changes to this notice
We may update this notice from time to time. The date at the top shows when it last changed, and we will tell you directly about any significant change that affects you.
